Scheduled Emails

Unlike notification emails (triggered by record changes), scheduled emails send search results on a recurring schedule. Use these for weekly reports, monthly summaries, or any regular distribution of search data.

Schedule Options

Setting Up a Schedule

📍 Steps

  1. Go to the Email subtab
  2. Scroll to Scheduled section
  3. Check "Schedule"
  4. Select frequency: Daily, Weekly, Monthly, Yearly
  5. Choose day and time
  6. Add recipients
  7. Optionally check "Summarize Results" or "Send as CSV"

💡 Send as CSV

For searches with many results, check "Send as CSV" to attach the data as a file instead of embedding it in the email body. This prevents email size limits from blocking delivery.

User Subscriptions

🔔 How Users Subscribe

If you enable "Allow Subscriptions", users can opt into the scheduled email:

  1. Navigate to Home → Set Preferences
  2. Click the Alerts subtab
  3. Find the search in the list
  4. Check the subscription box
